How to handle extra work with a change order

Found something you didn't expect, or the customer asked for more? Write it up, get it approved, and it lands on the invoice, so nobody argues about it later.

Steps

  1. Open the accepted quote and find the Change orders card, then tap New change order.
  2. Give it a title, an optional note, and up to 10 lines. You can pick lines from your price list. The total updates with tax.
  3. Save it, then tap to text it to your customer, or copy its private link.
  4. Your customer opens the link and approves by typing their name, or declines. The first answer counts.
  5. Approved changes are added to the invoice, marked with their number. Declined and waiting ones are left off.

Good to know

  • You can do this from after the customer accepts until the job is invoiced.
  • You can edit a change order that is waiting or declined, and the customer sees the new version at once. An approved one can't be edited.
  • Each change order can be downloaded as a PDF.
  • You get an email when your customer answers, if email is set up, and it shows on the job's timeline.

Questions

What if the customer never answers?
It stays waiting and is listed under Needs attention, where you can text a reminder.
Does a change order change the original quote?
No. The original quote stays as it was, and the change is added to the job on top.
