How to schedule your crew and see who is free

Add the people who work with you, put them on jobs, and see at a glance who is booked, who is free and who is double-booked. Crew members don't need a login: you manage the schedule and only you see it.

Steps

  1. Open Crew. On a phone, it is under Menu. Tap People and fill in a name, an optional role and phone, the hours in a usual working day, and the days they usually work. Tap Add to the crew.
  2. To record a day off, open the person on the People page and add time off, with a note if you like. You can add one day or a run of days.
  3. To put someone on a job, open the job's quote page and find the Crew card. Choose the person and tap Add to job. They are put on each of the job's working days, at their usual hours, leaving out their days off. The job needs a start date for this.
  4. On the Crew card, change the planned hours for any day, and the hours actually worked once you know them, then tap Save. You can add a day or take one off the job with the trash icon.
  5. Open Crew, then Schedule. Week shows everyone, one row each. Month shows one person, chosen from the list. Tap a day to see the jobs, change the hours or mark the day off.

Good to know

  • A day's colour shows how loaded the person is: free, part booked, fully booked, or over-booked. A day off or a day that isn't a usual working day shows as off, and turns red if you book work on it.
  • Over-booking counts every job. If someone is on two jobs on the same day, both jobs show the warning.
  • Planned hours are for scheduling. Worked hours are kept beside them, so you can compare what you planned with what happened.
  • If a job's dates change later, tap Fill in missing days on the Crew card to add the new working days.
  • Take someone off the crew to stop offering them for new jobs while keeping their history. Deleting a person removes their assignments for good.
  • Hours are kept to the nearest quarter hour, up to 24 in a day.

Questions

Do my crew need an account?
No. They are names on your schedule. Only the account owner can see and change it.
Does this change what my customers see?
No. The crew schedule is private. Customers see the planned start and end dates on their quote, as before.
