How to track job costs and profit
Knowing what a job really earned tells you which work to chase and where your prices run low. Your costs stay private: customers never see them.
Steps
- Once the customer has accepted a job, open its quote page and find the Costs and profit card.
- Add each cost: what it was for, the amount, a category (Materials, Labor, Equipment or Other), and a date. Leave the date blank for today.
- Read the profit and the margin on the card. A loss shows in red.
- Open Reports to see Profit on jobs finished for any period, with the most recent jobs and what was spent by category.
- For a head start on new quotes, fill in the Cost list on the Prices page, so you see the profit as you build each quote.
Good to know
- Profit is the price before tax, minus your costs. Sales tax isn't yours to keep, so it is left out.
- A job counts in the period of its completed date, or the day its invoice was paid.
- Reports tells you when some finished jobs have no costs logged, because their profit would look better than it is.
- You can download your costs as a CSV file from Reports.
Questions
- Can customers see my costs?
- No. Costs never appear on a customer's quote, invoice or PDF.
- Do I have to log every cost?
- No, but a job's profit is only as good as the costs you enter. Reports warns you about finished jobs with none.
